Reservations & Rates
To make your reservations, please do the following:
- Check the NY Loft availability. Follow the Instructions step-by-step.
- Once you have chosen your date(s), simply email our office (nyloft@appstate.edu) Monday through Friday (8 a.m. to 5 p.m.) so that we may confirm your dates of interest and begin booking your reservation.
Appalachian is committed to providing an inclusive experience for individuals with disabilities. If accommodations are needed during your stay in order to fully participate on the basis of a disability, contact the Office of Disability Resources. It is recommended that accommodation requests be made a minimum of two weeks prior to your stay.
NOTE TO APP STATE EMPLOYEES
Per section App State Travel and Business Expense Reimbursement Manual, Faculty, Staff, group leaders, and non-student temporary and student employees traveling on university business as part of their job duties must submit individual travel authorizations in order to receive reimbursements.
Other Considerations
- Payment in full is required when reservation is made (Visa and MasterCard are accepted). Unfortunately, we do not keep a waiting list, but feel free to check online for cancellations.
- There is no discount for renting the entire Loft, the maximum stay is limited to 14 consecutive days, and the prices are firm. We have 2-beds reserved at all times for our student interns, who are earning credit towards graduation.
- Reservations must be made more than 72 hours prior to arrival.
- The maximum amount of space you could book at any given time would be 18-bunks and the private room.
- No children under 5-years of age are allowed to stay at the Loft, and children 14 and under are welcome only during the Thanksgiving break, winter break, and summer months.
- Reservations are not made on-site at the Loft - Email (nyloft@appstate.edu) Appalachian State University, Monday through Friday, 8 a.m. to 5 p.m.
Student Groups
(Official faculty-led student groups)
$45/night per bunk
$85/night private room(sleeps 4)
Any current AppState faculty, staff or student group (affiliates) receive first priority when it comes to group reservations. Faculty taking official student groups (10 or more) may make a reservation 15-months in advance. Reservations will be open the first business day of the month, 15-months prior to travel. Reservations will be accepted by email only. They will be accepted in the order in which they are received beginning at midnight on the first day of the month for your booking window. Please check to see that space is available prior to emailing to reserve.
Affiliates
(AppState Students, Faculty, Staff, Alumni & Retirees)
- $65/night per bunk
- $200/night private room (sleeps 4)
Affiliates of AppState may make a reservation up to 6-months in advance. Reservations will be open the first business day of the month, 6-months before travel. Reservations will be accepted by email only. They will be accepted in the order in which they are received beginning at midnight on the first day of the month for your booking window. Please check to see that space is available prior to emailing to reserve.
Non-Affiliates
(Friends of the University, which also includes family of affiliates)
- $125/night per bunk
- $275/night private room (sleeps 4)
Non-Affiliates are welcome to make a reservation up to 3-months in advance.
Booking & Cancellation Policies
Check-In
Arrivals are checked-in by appointment only, based on your travel. For example, if you arrive at LGA at 8 a.m., we would estimate you to arrive at the Loft sometime between 8:30 a.m. - 10 a.m., and we would arrange for someone to be there during that 2-hour window to let you into the Loft.
There are no check-ins before 8 a.m. or after 9 p.m. Appointment for check-in must be made no later than 1-week prior to your arrival date.
Booking Policy
- Faculty may now book 15-months in advance if the faculty member is taking an official student group. Reservations will be open the first business day of the month, 15-months prior to travel. Reservations will be accepted by email only. They will be accepted in the order in which they are received beginning at midnight on the first day of the month for your booking window. Please check to see that space is available prior to emailing to reserve. A group is defined as 10 or more. They must secure the reservation with a budget code. No group reservations may be made for fall or spring breaks. Students are charged $45 per person per night. The faculty/staff chaperone is charged $85 per night for the private room. If group leaders stay in the bunk area, up to 2-faculty members will stay free of charge. If more than 2-faculty members are staying in the bunk area, the additional faculty members will pay the group rate of $45 per night. These charges ONLY apply to Appalachian student groups. Full payment is due from the group no later than 30-days before the arrival date. All payments for groups will be handled through Conference & Event Services. All group members staying in the Loft must be 18-years of age or older. Reservations will not be made for Middle School and High School groups.
- Affiliates are defined as current faculty, staff, students, alumni and retired faculty and staff. Alumni must have graduated from Appalachian State University. Any affiliate may make a reservation up to 6-months in advance. Reservations will be open the first business day of the month, 6-months prior to travel. Reservations will be accepted by email only. They will be accepted in the order in which they are received beginning at midnight on the first day of the month for your booking window. Please check to see that space is available prior to emailing to reserve. Affiliates pay the affiliate rate and any guests falling into the non-affiliated category, whether traveling with the affiliate or not, will be charged the nonaffiliated rate.
- Nonaffiliates are defined as friends of the University. This includes the family of affiliates. Nonaffiliates may make a reservation up to 3-months in advance.
Cancellation Policy
Your request to cancel must be received in writing (nyloft@appstate.edu) 2-weeks prior to your arrival date; if you meet this deadline, you may cancel without penalty. If you cancel with less than 2-weeks notice, you will be charged 1-night's stay per person as a penalty.
